Creating and Managing Views in Effivity
ABSTRACT
This guide explains how administrators create and maintain a process list view in Effivity. Configure the view within its existing process in sandbox, save and test it, then publish the changes to make the view live in the main account. The Risk Register Review example shows column selection, sequence, width, sorting and final verification.

Step 1 Open the sandbox account
A process list view controls which fields appear in a record list and how they are arranged. Use an administrator account with access to the required process. This guide covers List View under Process Configuration > Index Views.
1. In the main account, select Admin, then Process.2. Select Switch to Sandbox. Confirm that the SANDBOX banner appears.3. Find the existing process, open its row action menu, and select Edit. For this example, open Risk And Opportunity.

Step 2 Add or open an index view
1. In the Artifacts workspace, expand Process Configuration and select Index Views.2. To create a view, select Add More below the existing views. To update a view, expand its existing row instead.3. Enter a clear View Name, such as Risk Register Review, and select List View as View Type.4. Review Access Control for the intended audience. Retain the intended existing permissions. Select Default View only when this view should open automatically. In this example, Default remains the default view.5. Select the arrow beside the view to expand its settings.

Step 3 Select fields and arrange columns
1. Under Forms/Fields, expand the relevant form.2. Select the checkbox beside each field that should appear in the view.3. Double-click a Sequence cell and enter the desired column position.4. Double-click a Width (px) cell and select a suitable width. Click outside the editor to commit the value.5. Review the selected fields and their values before saving. Figures 3 and 4 show the upper and lower parts of the same field list.

Step 3 Column settings continued

Figure 4: Selected Proposed Review Date, Risk Description and Assigned To fields.
The example uses the following saved settings. Choose widths that suit your own field content. Check the rendered list after saving; a field may remain wider than the width selected in the editor. Use the horizontal scrollbar when needed to inspect every column.
Field | Sequence | Width (px) |
S No | 1 | 150 |
Risk Description | 2 | 300 |
Risk Category | 3 | 150 |
Department | 4 | 150 |
Assigned To | 5 | 200 |
Proposed Review Date | 6 | 200 |
Leave Group?, Disable Sort and Disable Search unchanged unless your view requires those options. This example keeps these options off.
Step 4 Set sorting and save
1. Use DefaultSortColumn to choose the initial sort field. The example uses S No (Risk And Opportunity).2. Set SortType to Ascending and retain Default Page Size as 25.3. Add filter groups only when the view needs specific record criteria. This example has no filter groups.4. Select Save. Wait for saving to finish, then reopen the view to confirm the selected fields, sequence, widths and sorting.

Step 5 Test and publish the changes
1. Select Start Testing from the Artifacts workspace. Open the process record list.2. Open the current view selector, move the pointer over Views, and select Risk Register Review.3. Verify the column order, displayed values, sorting and page size using a realistic sandbox record. Check any configured filters and the intended user access. Use the expand control or horizontal scrollbar to inspect all columns.4. Correct any issue in sandbox, save the configuration, and test again.5. Return to the existing process in the Artifacts workspace and select Publish. Wait for the Process Publish Wizard to load.
Publish the changes to make it live in the main account.
6. Review the access selections in the wizard and retain the intended existing permissions. Select Publish Now, then Yes in the confirmation. Wait for publication to finish.

Step 6 Open the published view in the main account
1. Select Back to Main Account and open the process record list. For this example, open QMS > Risk And Opportunity > Risk And Opportunity.2. Open the current view selector beside the page heading.3. Move the pointer over Views to display the available views.4. Select Risk Register Review. The menu shows the views available to the signed-in user.

5. Confirm the saved columns and their order using a main-account record. Check sorting, filters and user access where applicable. Select the expand control or use the horizontal scrollbar when needed to see complete columns. Publication applies the configuration; do not assume sandbox example records are copied to the main account.

Maintaining an existing view
For later changes, return to sandbox through Admin > Process, edit the existing process, and open Process Configuration > Index Views. Expand the existing view and revise the required settings. Save, test, publish the changes to make them live in the main account, then verify the published result. Keep the view name clear and avoid adding a duplicate view when updating an existing one.
