Reassigning and Delegating Tasks in Effivity
ABSTRACT
This guide explains how Administrators can reassign pending workflow tasks using the Active Process List available on the Dashboard. Reassignment helps transfer task ownership to another authorized user when the original assignee is unavailable or when workload adjustments are required. Upon reassignment, the new assignee receives a notification email and can continue the workflow from the current step.

Section 1: Accessing the Active Process List
The Active Process List provides visibility into all pending workflow tasks across the system. Administrators can use this list to monitor workflow activities and reassign tasks when necessary.
Steps
- Navigate to the Dashboard.
- Click Add New Chart.
- Select Active Process List from the available chart options.
- Click Add.
- The Active Process List chart will be displayed on the Dashboard.

Section 2: Viewing Active Workflow Tasks
Once the Active Process List has been added to the Dashboard, all pending workflow tasks within the system are displayed.
The list contains workflow information such as:
- Workflow Name
- Step Name
- Assigned User
- Workflow Status
- Created Date
Administrators can review the list and identify tasks that require reassignment.

Section 3: Reassigning a Workflow Task
Administrators can transfer a pending workflow task from one user to another directly from the Active Process List.
Steps
- Locate the task that needs to be reassigned.
- Click the Menu icon associated with the task.
- Select Reassign.
- The Reassign Task window will be displayed.
- Select the new user from the available list.
- Click Save to complete the reassignment.
The selected task is immediately assigned to the new user.

Section 4: Delegation Rules
Task delegation within Effivity is performed through the reassignment process.
The following rules apply:
- Only Administrators can reassign workflow tasks.
- Only pending workflow tasks can be reassigned.
- Tasks should be reassigned only to users who are authorized to perform the workflow activity.
- Workflow progress remains unchanged after reassignment.
- The reassigned user becomes responsible for completing the current workflow step.

Section 5: Notification to the New Assignee
After successful reassignment, Effivity automatically sends an email notification to the new assignee.
The notification contains:
- Workflow Name
- Task Details
- Action Required
- Link to Access the Task
The reassigned task also appears in the new assignee's notification list and email will be sent

Section7: Completing the Reassigned Task
After receiving the notification, the new assignee can:
- Open the workflow task from the notification.
- Review the workflow details.
- Complete the required actions.
- Submit the workflow step.
The workflow continues from the current stage without interruption.
