Effivity Mobile App User Guide
End User Guide | Sign In, PIN Access, Tasks, Records, Offline Use and Sync
ABSTRACT
This guide explains how to access and use the Effivity mobile app on Android and iOS. It covers organisation and Microsoft sign-in, first-time PIN setup, mobile navigation, individual and group tasks, record creation, attachments, offline working and synchronisation.

Step 1: Install and sign in to the mobile app
Install Effivity from Google Play Store or the Apple App Store. Open the app and use the sign-in option provided by your organisation.
Option 1: Organisation domain and username/password
1. Enter the organisation domain and tap Submit.
2. Enter the Effivity username and password.
3. Tap Log in to access the account.

Use the same domain, username and password provided for the Effivity web application.
First-time PIN and biometric setup
After the first successful sign-in with username and password, Effivity asks the user to create a four-digit login PIN. The app may also prompt the user to enable biometric login when the device supports it.
1. Enter a four-digit PIN when the Setup Login PIN screen appears.
2. Enter the same PIN again when confirmation is requested.
3. Complete the biometric setup prompt when it is available on the device.

Users can Login again using the saved PIN or biometrics. The same screen also provides Forgot PIN, Login with Credentials, Change User and Change Domain options.
Option 2: Microsoft sign-in
When Microsoft sign-in is enabled for the organisation, the app displays the Log in With Microsoft option after the organisation domain is selected.
1. Tap Log in With Microsoft.
2. Complete the Microsoft sign-in using the authorized work account.

The available sign-in screen depends on the organisation configuration.
Step 2: Use the home screen and navigation menu
After sign-in, the Home screen displays recently and frequently used modules. The menu icon available in the top left corner opens the complete mobile navigation.
- Tap the Recent tab to view the modules that were accessed most recently.
- Tap the Frequent tab to view the modules that are accessed most often.
- Tap the required module under either tab to navigate to the respective module.
- Tap the menu icon in the upper-left corner.
- Expand the required Management System and Module Group.
- Tap the required module to access it.

Step 3: Search for a module
1. Open the navigation menu.
2. Tap the Search field.
3. Enter the module name.
4. Tap the required module from the results.

Step 4: Open individual and group tasks
The bottom footer provides separate areas for individual and group workflow tasks.
1. Tap Individual to view tasks assigned directly to the signed-in user.
2. Tap Group to view tasks assigned to users with same roles.
3. Open the row action menu for the required group task and claim it.
4. After the task is claimed, open Individual to continue and complete the task.

The red number shown above a footer icon is the number of available notifications in that task area.
Step 5: Review and complete a task
1. Open the required task from the Individual task list.
2. Tap the row action icon.
3. Select View Record to review the record.
4. Select Complete Step to perform the workflow action.

Step 6: View records and use row actions
1. Open the required module.
2. You can access the records shown on the listing screen.
3. Tap the plus icon to create a new record.
4. Tap the row action icon beside an existing record to access View, Edit or any other action displayed for the record.

Step 7: Create and submit a record
Using the “Add New”, the record creation page can be accessed. Required fields are marked with a red asterisk.
1. Tap the plus icon from the module listing screen.
2. Enter the required information in the form.
3. Select values from the available list fields.
4. Tap “Submit” to save the record / “Save as Draft” to continue later.

Step 8: Add photos and files
Photos and files can be added when the mobile form contains image or file components.
1. Tap Add Images to take a new photo or select an image from the device.
2. Choose Camera or Gallery.
3. Tap Add Files to attach a file from the device.
4. Submit or save the record after the required attachments are added.

Common supported files include JPEG, PNG, PDF, DOCX and XLSX. Image compression follows the configuration set in the Effivity web application.
Step 9: Enable a module for offline use
Offline mode is enabled separately for each module.
1. Open the required module while online.
2. Open the action module present in the lower right corner and tap Enable Offline mode.
3. Tap Yes to download the module listing data.
4. All pre-requisites will be downloaded, for you to perform inspection/ any other activities offline.
5. Create records or view downloaded records while offline.
6. Synchronize after the device reconnects to the Internet

Step 10: Configure and run synchronisation
Synchronisation transfers mobile offline records from the device to Effivity.
1. Click the profile icon in the top-right corner to open the profile menu.
2. Expand Sync and tap Sync Settings.
3. Select Hourly, Daily, Weekly, Monthly or Never.
4. Tap Save to retain the selected frequency.
5. Tap Sync Now to synchronize immediately.

Common mobile usage questions
Question | Answer |
Can all active users sign in? | Yes, when valid Effivity credentials are used and mobile access is available for the organisation. |
How can I sign in after the first login? | Use the PIN created during setup or the biometric option available on the device. Login with Credentials can also be selected. |
Where are individual tasks found? | Tap Individual in the bottom footer. |
Where are group tasks found? | Tap Group in the bottom footer. Claim the task before completing it. |
Can records be created offline? | Yes. Enable offline mode for the required module while online, then synchronise after reconnecting. |
Can photos and files be uploaded? | Yes, when the form contains image or file components. |
Summary
