Using the Calendar View in Effivity
Accessing Calendar View, Status Indicators, and Filtering by Department or User

ABSTRACT
This guide explains how to create, access, and use the Calendar View in Effivity. It also covers status indicators, calendar display options, and configuring filters such as Department, User, Responsibility, and Status. The screenshots in this guide use a sample Effivity module; however, the same steps can be followed for any module that supports Calendar View configuration.
Note: Menu options, view configuration settings, and available fields may vary based on the user role, module configuration, and access permissions assigned by the administrator.
Prerequisites
• You must be logged in to the required Effivity domain, such as Effivity_Help.
• You must have access to the module where the Calendar view needs to be created.
• You must have permission to access Workflow Master Settings and Index Views.
• The selected module must contain a suitable date field that can be used as the Start Date and End Date for the scheduler.
• The selected module must contain a suitable field to use as the Event, such as Status, Title, Type, Document Name, or any other field that helps users identify the record on the calendar.
SECTION 1: CREATING AND ACCESSING CALENDAR VIEW
Users with the required access can create a Calendar View from the Index Views. Once the view is saved, it can be accessed from the view dropdown on the module by users who have the necessary permissions.
Step 1: Open the Required Module
- From the left navigation panel, open the module or screen where the Calendar view needs to be created.
- Use the search menu if required to quickly locate the screen.

Step 2: Open Index Views from Workflow Master Settings
- On the module listing screen, click the hamburger menu located at the top right corner.
- From the dropdown list, hover over Workflow Master Settings.
- Select Index Views to open the Index Views configuration screen for the selected module.

Note: If Workflow Master Settings or Index Views is not available, contact the administrator to confirm whether the required permission is assigned to your user role.
Step 3: Add a Calendar View
The Workflow Master - Index Views screen displays the existing views configured for the selected module.
- Click Add More to add a new view row.
- In the new row, enter a View Name (for example, Calendar).

3. Under Access Control, select the required access group.
- Select Global to make the view available to all users.
- Select a specific access group to restrict access to selected users.
4. In the View Type field, select Scheduler.
5. Select the required Serial Number, Event, Start Date, and End Date fields based on the module configuration.

IMPORTANT: The Calendar view will display data based on the fields selected during this configuration.
Step 4: Select the Event Field
The Event field controls what text appears inside each calendar entry. For example, if Non Conformance Status is selected as the Event, each calendar entry shows the current status of the related record. If a different field is selected, the calendar displays that selected field value instead.
- Click the Event dropdown.
- Review the available fields for the selected module.
- Select the field that should identify the record on the calendar.

Tip: Choose an Event field that helps users understand the record quickly, such as Status, Document Name, Customer Name, Audit Title, Training Name, or another meaningful field based on the module.
Step 5: Select Fields to show in Calendar view
After selecting the Scheduler fields, ensure that the same fields are also selected in the Fields section. This is required, so the Calendar view has the field data needed to display the records correctly.
- Expand the relevant form section.
- Select the checkbox for each field used in the Calendar view configuration.
- Review the selected fields before saving the view.

Important: If a selected scheduler field is not included in Forms/Fields, the calendar may not display records as expected.
Step 6: Save the Calendar View
- After completing the Calendar view configuration, scroll to the bottom to Save button.
- Click Save to apply the changes.
- Return to the module screen after the view is saved.
Note: The saved Calendar view will be available only to users who have the required access to the view and the module.
Step 7: Open the Calendar View from the Module Screen
- Open the same module from the left navigation panel.
- Click the current view dropdown, such as Default.
- Hover over or open the Views option to see the available views.
- Click Calendar to open the Calendar view that was created earlier.

SECTION 2: STATUS INDICATORS AND CALENDAR DISPLAY OPTIONS
The Calendar View displays records based on the configured date fields. The text shown on each calendar entry is determined by the Event field selected during Calendar View configuration.
Step 9: Review Calendar Display Options
- Click Today to return to the current date in the calendar view.
- Use Day, Week, Work Week, Month, or Agenda to change the calendar layout.
- Use the previous and next arrows to move between dates, weeks, or months depending on the selected view.
- Review the calendar entries. Each entry represents a record from the selected module.

Step 10: Understand Status Indicators
Status indicators are the calendar entries that represent the status or key details of each record, based on the selected Event field configuration.
For example, if the Event field is configured as Status, the calendar entries may display values such as NC Created or Rectified. This allows users to quickly understand the current stage or condition of each record directly from the calendar view.
Note: The text displayed in the calendar depends on the value stored in each record field. Different modules may show different values based on their respective workflows and form configurations.
SECTION 3: FILTERING CALENDAR DATA
Filters allow users to control which records are displayed in the Calendar View. By applying filters, users can narrow down the data to focus on specific records.
Calendar data can be filtered by department, user, responsibility, status, or other available fields, depending on the configuration of the selected module.
Step 11: Add Filters in Filter Groups
- Open the Index Views configuration screen for the required module.
- Click the expand option in the Calendar View menu located beside the view name.
- Scroll to the System Filter Groups or Filter Groups section.
- Click Add More to add a filter group or filter row.
- Select the required Column, such as Department, Primary Responsibility, Secondary Responsibility, Status, or another available field.
- Select the Filter Type, such as Equals.
- Select or enter the required Value.
- Click Save to apply and update the filters in the view

Important: Filters configured in Index Views are applied directly to the view. Users will only see records based on the saved filters, along with their assigned access permissions.
SUMMARY
The Calendar View in Effivity allows users to display module records in a date-based layout for better tracking and visibility.
Administrators can create a Calendar View from Workflow Master Settings > Index Views by selecting Scheduler as the View Type and configuring key fields such as Serial Number, Event, Start Date, and End Date. The Event field determines the text displayed on the calendar entries or status indicators.
Users can access the configured Calendar View from the view dropdown and switch between different layouts, including Today, Day, Week, Work Week, Month, and Agenda.
Filters can be configured using Filter Groups to display records based on department, user, responsibility, status, or other available fields. Access to create or view Index Views depends on the permissions assigned to each user
